How do I request to migrate my data from Google to Box?

Overview

As of December 31st, 2023,  Google accounts that are over 20GB will no longer be able to upload new files or store additional content to UIC’s Google account. 
 

Please be aware, that all files must be migrated from Google Drive to a university-supported service by December 31st, 2023. Failure to migrate may result in loss of data and/or files. Please read on for more information.

 

 

What is happening?

Google recently announced a new cost structure for its Workspace product for Higher Education. This cost structure would result in a significant cost increase for Google Workspace storage (i.e. Google Drive). Prior to this announcement, the suite of Google products had been free for all institutions and included unlimited storage. Unfortunately, participation in one of the newly created plans is not a fiscally responsible for the university.

What do I need to do?

We strongly encourage you to use transition files to a university-supported service, such as the Box Service, and migrate any files that need to be migrated. 

Use the Data Storage Finder tool to help you determine which storage option best fits your needs.

How do I review & manage files on Google Drive?

We encourage you to review files on your UIC Google Drive, confirm storage quota use, and perform any necessary actions to manage storage. Follow these steps:

  1. Confirm how much storage you are currently using at drive.google.com/settings/storage
  2. Review and delete large or unnecessary files in Google Drive at drive.google.com/drive/quota
  3. Consider deleting Google Drive content that you have previously copied to a Google Shared Drive. If a file resides in two locations, it may be consuming twice the storage space.
  4. Search for and delete unnecessary or large emails, by visiting Manage files in your Google Drive storage and following the instructions for Gmail.
  5. Migrate files to an alternate service.
