Symptoms / Problem Statement
- You need to retire or surplus a university-owned Mac managed by the College of Education.
- You must ensure the computer is securely wiped, removed from Jamf Pro and DEP, and tracked on the building surplus list.
- You are unsure which steps are required before placing the Mac into the surplus closet.

Prerequisites
- Confirm the computer is a Mac owned by the College of Education.
- Access to:
- TeamDynamix client portal to submit tickets
- Jamf Pro (http://go.illinois.edu/jamf)
- EPS Jamf Pro DEP Removal request form
- College of Education surplus lists in Box
- Physical access to the Mac, unless it is being surplused as lost.
- Ability to perform or confirm a NIST 800-88–compliant purge of the Mac’s storage (when the device is available).
Instructions
1. Create a Surplus Ticket in TeamDynamix
- Go to the College of Education IT Surplus request form in the TeamDynamix client portal (IT – Surplus form).
- Fill out the ticket fields using the following conventions:
- Form: IT – Surplus
- Title:
Surplus [Mac Serial Number] [Reason]
Example: Surplus C02HCH4LQ05D Water Damage
- Requestor: Yourself
- Description: Briefly describe the reason for surplusing the Mac. Examples:
- Surplusing because it is water damaged and out of warranty.
- Computer is no longer supported by a modern macOS version.
- Physical damage is too expensive to repair.
- Computer has been reported lost and is not expected to be recovered.
- Submit the ticket.
2. Delete the macOS Computer from Jamf Pro
- Open Jamf Pro: http://go.illinois.edu/jamf.
- Search for the Mac using the serial number or computer name.
- Open the device record.
- Delete the computer object from Jamf Pro to remove management for this device.
3. Purge All Data According to NIST 800-88 Standards
- Review the College of Education data sanitization guidance: Data Destruction – NIST 800-88 Compliant Methods .
- Use an approved method to purge the Mac’s storage so it meets NIST 800-88 Purge standards.
- Once complete, update the TeamDynamix surplus ticket to indicate that a NIST 800-88–compliant purge has been performed.
Note: If the Mac is lost or unavailable, document this clearly in the ticket (for example: “Device not available—unable to perform purge.”).
4. Submit a DEP Removal Request (EPS / Jamf Pro)
- Open the EPS Jamf Pro DEP Removal form:

- Complete the form using these values:
- Select Service: Jamf Pro
- Select Request Type: DEP Removal
- Jamf Pro Site Prefix:
EDUC
- Enter one or more serial numbers, one per line: Enter the serial number of the Mac you are surplusing.

- Submit the DEP Removal request.
5. Fill Out and Attach a Scrub Tag
- Obtain a scrub (wipe) tag used for surplus devices in your building.
- Fill in at least:
- Mac serial number
- TeamDynamix surplus ticket number
- Reason for surplus
- NIST 800-88 purge status (for example: Purge completed or Device lost – purge not possible)
- Attach the scrub tag securely to the Mac.
6. Add the Mac to the Building Surplus List
- Open the College of Education surplus folder: College of Education Surplus Lists (Box) .
- Locate the surplus list for the building where the Mac is stored.
- Add a new entry for the Mac, including:
- Serial number
- Ticket number
- Brief reason for surplus
- Date added
7. Place the Mac in the Designated Surplus Closet
- Move the tagged Mac to your building’s designated surplus closet or staging area.
- Place the Mac in the appropriate section as defined by local building procedures (for example, with other completed surplus items).
- Ensure the device remains accessible for surplus pick-up according to building or departmental schedules.
Troubleshooting
- Mac is not found in Jamf Pro: Confirm that the serial number is correct. If the Mac still does not appear, note this in the surplus ticket and proceed with the remaining steps (DEP removal, tagging, and surplus list).
- Unable to perform NIST purge: If the Mac is lost, stolen, or otherwise unavailable, clearly document this in the surplus ticket and continue with DEP removal and inventory updates.
- Cannot access the building surplus list in Box: Verify your access to the College of Education Box folder. If access is missing, contact your local IT leadership or follow internal procedures to request access.
