Initial Setup
To get started, we strongly recommend watching Zoom's Initial Zoom Phone Setup video guide:
To follow along with the video, access your Zoom Phone Settings directly (be sure to sign in with your UIC email address), or:
- Visit uic.zoom.us and select Sign In
- Navigate to Phone > Settings.
If you do not see an options for Phone Settings, please log out of Zoom and log in again to reset your account.
Below, you will also find specific callouts for important configuration elements. If you encounter any problems or confusion through this process, please reach out to us.
PHI Note
Zoom Phone SMS should never be used to send or receive Protected Health Information (PHI). See Can I use Zoom Phone SMS with PHI?
Back Up Your Old Voicemail
Important:
Zoom Phone includes a voicemail service. Your existing voicemail will be deleted 30 days after your line is transitioned to Zoom Phone. Please review and download any messages you may need in the future. See How can I download/ save my Unity voicemail messages?
Set Your Emergency Address(es)
As a Zoom Phone service user, you can dial 911 for emergency assistance directly from the Zoom Mobile app, desktop app, or desk phone.
To ensure that emergency responders receive accurate location information when you dial 911, ensure the Emergency Address settings are configured correctly in your account. This is vital for emergency services.
- Visit uic.zoom.us and select Sign In
- Navigate to Phone > Settings.
- Under Emergency Address, enter your on-campus location and, if applicable, the off-campus (personal) location you most typically use your UIC phone number. If you are a remote worker, click on "Add" and enter your personal address. Once entered, select and set your personal address as the default.
NOTE: When dialing 911 from the Zoom Phone App on your cell phone, the call will automatically route through your phone's native cellular service. This provides the most accurate location information to emergency responders, making it the best option for emergency calls made from your mobile device.
Enable Location Sharing
- In your Zoom desktop application, select your profile picture then select Settings.
- Select the Phone tab.
- Ensure Location Permission is selected.
Test Emergency Calling
Dial 933 from your Zoom phone desktop app to verify your emergency calling configurations. This is a test number that will read back your emergency address to you. Please note that dialing 933 does NOT contact any actual emergency services.
Configure Call Handling
Access the Phone > Settings > Call Handling section. Here is where you will define your Business Hours (if desired), configure what devices should ring when you receive a call, and what should happen when you're on another call or unavailable.
Setting Business Hours
- Select Edit next to Business Hours. You can optionally set Custom Hours, and once set, you can configure different call handling behavior during 'closed hours.'

- Customize call handling settings to determine how calls are routed during closed hours.

Setting Voicemail Greeting and PIN
To set up your voicemail, follow the steps below. Visit managing voicemail messages to learn more.
- In the Phone > Settings > Call Handling section go to the Greeting & Leave voicemail instruction and select Edit.
- Select Add Audio to create a greeting.

- Select Record by Computer to record a greeting. You may need to grant permission for the web page to access your microphone.

- Within Desk Phone section, set your PIN Code to manage access to your voicemail via desk phones.

Placing External Campus Calls
Please note that with Zoom Phone, it is no longer necessary to dial "9" for external campus calls.

Return Old Hardware
The initial pilot group can hold equipment until it is gathered when the rest of our department is migrated to Zoom Phone
Please ensure that your departmental IT experts collect your old phone hardware. Technology Solutions will work with the local IT teams and campus movers to gather equipment from each department’s equipment and ensure it is properly recycled.
