What are the expectations and responsibilities when borrowing equipment from Technology Solutions?

Summary

Any party that borrows equipment from Technology Solutions is responsible for returning the equipment in the same condition they borrowed it, and on time. Technology Solutions will charge fines and/or suspend access to Technology Solutions resources (including computer labs, wireless network, etc.) for equipment that is returned late, damaged, lost, or stolen through negligence.

Body

Usage of all equipment loaned by Technology Solutions constitutes acceptance of UIC's Acceptable Use of Computational Resources Policy. Any party that borrows equipment from Technology Solutions is responsible for returning the equipment in the same condition they borrowed it, and on time. Technology Solutions will charge fines and/or suspend access to Technology Solutions resources (including computer labs, wireless network, etc.) for equipment that is returned late, damaged, lost, or stolen through negligence.
 

All Individuals

  • Borrower shall not leave equipment unattended while checked out
  • Borrower may only check out one of each type of device at a time
  • Borrower may not redistribute equipment to any other person(s)
  • Borrower is solely responsible for the equipment checked out to them until the equipment has been returned and checked back in. This includes but is not limited to:
    • damage/destruction
    • loss
    • theft due to negligence
    • late return
    • misuse of any kind
  • Borrower is solely responsible for any fines resulting from the above-mentioned occurrences
  • Borrower is required to submit a police report to the UIC Police immediately upon loss/theft of equipment and to provide the police report number to Technology Solutions within 24 hours
  • Borrower must abide by all university, state, and federal policies and laws regarding the appropriate use of the university network and computing resources, including those available online at policies.uic.edu/uic-policy-library/information-technology
  • Failure to adhere to the conditions of use may result in the loss of equipment loan privileges
  • Having a suspended UIC account will prevent login access to the laptops loaned by Technology Solutions
  • Technology Solutions reserves the right to deny an equipment loan request, based on UIC account suspension status, previous fines, intended use, or other factors

Students

  • Failure to return equipment by the due date and time will result in late return fines, in addition to a hold being placed on borrower's account, preventing further equipment checkout until the equipment is returned and for a one (1) week period afterward. This penalty will be extended for any repeat offenses.
  • Fines are charged to the borrower's UIC student account, and failure to pay may impact the borrower's ability to obtain transcripts, register for classes, and/or graduate
  • The borrower will receive an email confirmation of the equipment checkout, detailing a checkout reference number, the equipment checked out, and return deadlines
     

Faculty/Staff

  • Borrower must be physically present and provide their valid UIC i-card to checkout equipment
  • The borrower will receive an email confirmation of the equipment checkout, detailing a checkout reference number, the equipment checked out, and return deadlines
  • There may be fees associated with obtaining equipment from Technology Solutions for non-course-related use. Fees vary based on the type of equipment needed, and the duration of the rental. These fees will be detailed and explained prior to equipment checkout.
  • The fees, as well as any fines, will be charged to borrower's department CFOAP account

 

Fines

Failure to return equipment by the due date and time will result in late return fines, in addition to a hold being placed on borrower's account, preventing further equipment checkout until the equipment is returned and for a one (1) week period afterward. This penalty will be extended for any repeat offenses.

An email confirmation provides a checkout reference number, the equipment checked out, and the return deadlines. Late Return Fines are listed 'per day', but are pro-rated hourly, so returning equipment as soon as possible even after it is late will minimize the fine that is charged.  Late Return Fines are calculated until the total replacement value has been reached. Fines for damage will equal the cost to repair the damage, up to the full cost of replacement.
